How to manage users across child accounts with centralized billing

Learn how parent accounts with centralized billing can add, deactivate, and manage users across child accounts.

Some organizations use a parent-child account structure in Jump where a home office or parent account manages billing for multiple affiliated child accounts.

With centralized billing enabled:

  • The parent account pays for all seats through one centralized invoice

  • Child accounts share from the same pool of purchased seats

  • Account owners on the parent account can manage users across child accounts without logging into each individual account

This setup is commonly used by firms with multiple branch offices, affiliated entities, or regional teams.


How to manage users across child accounts

Account owners on parent accounts can access Account settings by going to Profile & settings > Account settings in the left-hand navigation panel.

From there:

  1. Click users.

  2. Select Manage accounts.

Inside the Manage accounts view:

  • Child accounts appear in the left-hand navigation panel

  • Available unassigned seats are shared across the parent-child structure

  • Parent admins can assign or deactivate users on child accounts directly

This gives parent account owners visibility into how many available seats remain before additional billing is required.


What information do I need?

To successfully add a new user, you will need:

  • First and last name

  • Email address

  • Preferred Seat Type

You may also optionally add the new user to an existing team.


How to add users to a child account

To add a user to a child account as an Account owner on a parent account:

  1. Go to Profile & settings > Account settings > Users.

  2. Select the Manage Accounts button.

  3. On the left hand side of the new screen, select the appropriate child account, this will allow you to view the account's current users, including their user type, and product type. Next, select the + Invite users button, then the + Add users button.

  4. Once you are on the Invite Users screen, you will be able to enter the new user's full name and email. You will also select the user's Product(s) Access, and optionally, add them to a team. Once you are done, click the Save to Queue button.

  5. Clicking Save to Queue adds the user to a queue, it does not send the invite yet. To add more users in the same batch, click Add Another User and repeat the previous step for each person.

  6. When you have added all necessary new users to the queue, you will reach a summary screen showing the users you are about to invite and a payment summary for any new seats. Here you can choose whether to send an invite email (and select a template) to your newly invited users. When you are ready, click Invite [#] Users to finalize.

  7. Once those invites are sent, your billing account is instantly updated to reflect the new seats you have added. Each invited user then appears under the Invited users tab until they accept the invitation and create their account, at which point they move to the Current users tab.

Note: If you have unused seats on your account, Jump will opt to assign those existing seats to new users before charging you for any additional seats. Click the Grant ONLY view access with Lite ($25/mo) to add a new user as a lite seat.


How to deactivate a user on a child account

To deactivate a user from a child account as an Account owner on a parent account:

  1. Go to Profile & settings > Account settings > Users > Manage accounts.

  2. On the left hand side of the screen, select the child account you want to manage.

  3. Under the Current users list, select the user you'd like to deactivate.

  4. In the panel that opens, verify that it is the correct user and click the red Deactivate user button. Another pop-up screen will ask you once more to confirm deactivation, click Deactivate user once more.

  5. Click Save before closing.

Note: When a user is deactivated from a child account:

  • Their seat is automatically returned to the unassigned seat pool

  • That seat can immediately be reassigned to another user using the above instructions under "How to add users to a child account".

This allows firms to efficiently reuse seats as employees join or leave the organization.


How to upgrade an existing user on a child account

To add products or change the seat type for a user who already exists on a child account:

  1. Go to Profile & settings > Account settings > Users > Manage accounts.

  2. On the left hand side of the screen, select the child account you want to manage.

  3. Under the Current users list, select the user you'd like to upgrade.

  4. In the panel that opens, select the additional product(s) you want to add, such as Grow or Onboard, or change their seat type, for example upgrading a Lite seat to a full Meet seat.

  5. Review the payment summary for any added products, then click Save & Pay now to finalize the change.

  6. Your billing account is instantly updated to reflect the change, and the user gains access to their new product(s) right away.

Note: If you upgrade an existing user from a Lite seat to a Meet seat, you will be charged for a new Meet seat (prorated for the rest of your current billing period), and the Lite seat will remain on your account as an unassigned seat, which you can reassign to another user at any time.


What parent account admins cannot currently manage

At this time, Account owners on a parent account cannot complete the following actions themselves:

  • Create entirely new child accounts

  • Manage users on a child account of a child account

  • Configure teams within child accounts (though you may add new users to existing teams)

Why don't I see the "Manage accounts" option?

If you are an Account owner on a parent account and don't see Manage accounts available under Profile & settings > Account settings > Users, your organization may not have centralized billing enabled.

If you believe your organization should have access to this feature, contact your Jump Account Manager.
