How to configure notetaker settings for your firm

Choose when the notetaker joins meetings, how it looks, and how it handles phone calls for your firm.

Written by Mitchell Murphy

Who has access to these settings?

  • Account owners

  • Compliance admins

The Notetaker settings tab controls how the Jump notetaker behaves for everyone on your account. Here, you can control which meetings the notetaker attends, how it appears in virtual calls, and more.

To get here, go to Profile & settings > Compliance > Notetaker settings.

Note: Click Save at the bottom of each section to apply your changes. Click Revert to undo changes. If you manage child accounts, use the lock icon next to Save to apply that section to every child account as well.

Notetaker attendance

Decide whether the notetaker automatically attends your users' meetings. Under Set Notetaker attendance, choose one:

  • Allow users to select: Users decide whether the notetaker attends each meeting by turning it on or off for each calendar event.

  • Always automatically attend users meetings: The notetaker attends every meeting on synced user accounts.

  • Never automatically attend users meetings: The notetaker attends only when a user turns it on for a specific meeting or pastes in a meeting link.

You can also turn on Allow notetaker to bypass waiting room so the notetaker skips lobby screens on Zoom, Microsoft Teams, and other platforms.

Notetaker media

Customize the notetaker's display name. Keep in mind, the Notetaker name applies to everyone in your Jump account, not just you.

You can also customize the image shown for the notetaker in virtual meetings for each state:

  • Notetaker ready to capture

  • Notetaker capturing

  • Notetaker paused

  • Notetaker unable to capture

Drag and drop a JPG file or click Select file for each state, then click Save.

Notetaker timing

Configure when the notetaker joins meetings and how long it waits for attendees. Under Set attendance and departure times, choose one:

  • Join before the meeting starts: The notetaker joins a set number of minutes before the scheduled start time.

  • Join after the meeting starts: The notetaker joins a set number of minutes after the scheduled start time.

Then, set the timing:

  • Set join time: The number of minutes before or after the start time the notetaker joins, up to 30 minutes before or 60 minutes after.

  • Set wait time: How long the notetaker stays in a meeting or waiting room when no one else has joined, from 1 to 30 minutes.

  • Use platform defaults: Turn this on to use Jump's default timing. The fields show the default values and can't be edited.

Note: Platform limits may apply to wait time. Google Meet allows up to 10 minutes, and Microsoft Teams allows up to 30 minutes.

Phone call capture

Choose how the notetaker starts capturing phone calls:

  • Interactively: The notetaker waits for a signal before it starts capturing. Choose one:

    • Keyboard only: Press any number on your keypad to start capturing.

    • Keyboard or magic phrase: Press any number or say the magic phrase the notetaker announces.

    • Keyboard or conversation start: Press any number or start speaking.

  • Immediately: The notetaker starts capturing as soon as it joins. Make sure all participants are connected and informed before letting the notetaker in.

Record without host permission

Turn this on to let the notetaker capture Zoom meetings even when Zoom's "Record to computer files" setting is off. When enabled, Jump will not use Zoom's host recording-permission flow, so the host will not be asked to approve recording through Zoom.
