How to use Note Templates

Create and manage reusable templates for meeting notes for your own profile.

  • Full users on Meet

Note Templates give you a dedicated place to create, edit, and share the AI prompts that shape your meeting notes.

Instead of managing these prompts inside individual automations, you can now build them once on the Templates page and reuse them across as many automations as you need.



Where to find Note Templates

Go to Profile & settings > User settings > Templates > Meeting Notes in your Jump account.

Here, you'll find Jump's built-in default templates, which you can duplicate and use as a starting point for a custom template. You can also create your own from scratch by clicking the + New template button.

Templates you create are private to your profile by default. You can share a custom template with your account, which transfers ownership to the account level and makes it available to others.


Creating a new template from scratch

  1. Go to Profile & settings > User settings > Templates > Meeting Notes.

  2. Click the + New template button to create a new template.

  3. In the editing view that opens, click into "New Template" to give the template a name.

  4. Add your Instructions in the provided field. This is where you enter detailed guidance for the AI on how to generate the note or email.

  5. Then, add an Example in the provided field. This is a sample output that shows the AI what you're looking for.

  6. In the right-side Preview panel, click Generate preview now to see a sample output based on your instruction and example.

  7. Save the template before exiting.

Note: Templates are written in raw markdown using an instruction and example field.


Editing a Jump default template

Jump's default templates can't be edited directly, but you can duplicate any of them and edit the copy.

  1. Click into the default template you want to customize.

  2. Click the Duplicate & edit button on the bottom right of the screen.

  3. In the duplicated version that opens, edit the instruction and example as needed.

  4. Click into the title to give it a new name.

  5. Save your new version before exiting.


Sharing a template with your account

If you want a template you created to be available to others on your Jump account:

  1. Open the template from your list.

  2. Toggle on Share template.

This transfers ownership to the account level. The template will now be visible to other users on your account.

If your account is on a UCP (User Configuration Profile):

  • Account owners can create account-level templates and add them to a UCP. If you use the Convert to Template button on an existing automation, the template will automatically be created at the account level.

  • Non-account owners can create personal templates, but cannot add them to automations.


Using a template in an automation

Once a template exists on your Templates page, you can select it from any automation.

When creating or editing an action in Profile & settings > User settings > Automations > Do this:

  1. Add or open a field set to AI-generated using template.

  2. Click the Templates tab in the selector.

  3. Choose from your account's templates, including any custom ones you've created or that have been shared with your account.


Converting an existing automation to a template

If you've previously built a custom note prompt inside an automation, you can move it to the Templates page using the Convert to Template button — without losing any functionality.

  1. Go to Automations > Do this and open the relevant automation.

  2. Click Convert to Template.

  3. Confirm the name and save.

The prompt will appear as a new template under Meeting Notes, and the automation will automatically reference it going forward. You can edit the template from the Templates page from that point on.

If you're a UCP account owner, converted templates will automatically be created at the account level rather than your personal profile.


Frequently asked questions (FAQs)

Do I need to update my automations after creating a new template?

No, if your automation is already using a template, it will continue to work as before. You only need to update an automation if you want to switch it to a different template.

Can I use the same template in multiple automations?

Yes. Once a template is saved to your Templates page, you can select it in as many automations as you'd like.

Will my notes change if I convert an automation to a template?

No. Converting an automation to a template doesn't affect the output — it just moves the prompt to a more manageable location.
