Scheduling Admin for Booking Windows

Empower team members to manage booking windows for advisors—streamlining scheduling without requiring full user access.

What is a Scheduling Admin?

  • Team scheduling admins can view and manage Booking Windows for all users on their team.

  • They can create, edit, and delete Booking Windows on behalf of any advisor on their team who has an active Google or Microsoft calendar integration.

  • They can configure reminders on Booking Windows they manage.

  • They can switch between viewing their own Booking Windows and team Booking Windows using a toggle.

  • They can schedule a meeting for team members using custom times or configured booking windows.

Requirements

  • The advisor you want to create a Booking Window for must have an active Google or Microsoft calendar integration connected to Jump.

  • If the advisor does not have a connected calendar integration, you cannot create a Booking Window for them.


Where to find Booking Window management

  1. Go to Profile & settings > User settings > Booking Windows.

  2. Use the toggle at the top of the page to switch between:

    • My booking windows, and

    • All team booking windows (all windows you manage across the firm)


How to assign a Scheduling Admin

Account Owners can assign the Team scheduling admin role from team settings:

  1. Go to Profile & settings > Account settings > Teams > Edit team.

  2. Find the row for the team member you want to update.

  3. Use the drop down menu to select Team scheduling admin.

  4. Click Done.

To remove the role, follow the same steps and deselect Team scheduling admin.

Note: Account owners can assign Team meeting admin and Team scheduling admin roles separately or concurrently, giving teams more control over who can see others meetings or schedule meetings on behalf of others.

Lite seat users are given Team scheduling admin permissions by default when added to a team.

How to manage Booking Windows as a Scheduling Admin

  1. Go to Profile & settings > User settings > Booking Windows.

  2. Switch to All team booking windows.

  3. Create a new Booking Window.

  4. When prompted, select which advisor’s calendar to use.

    • Only advisors with an active calendar integration will appear in the list.

  5. Configure the Booking Window settings (availability, meeting details, etc.).

  6. Configure reminders for the Booking Window (if needed).

  7. Save.

When a meeting is booked through a Booking Window you manage, the advisor still receives the calendar invite as normal.


How to schedule a meeting on behalf of an advisor

As a Scheduling Admin, you can offer a client times from an advisor's booking windows and send the invite for them.

  1. Click New Meeting, then Schedule a meeting. You can also start from a contact's page.

  2. Under Jump user, select the advisor you're scheduling for. Only advisors whose booking windows you manage will appear in the list.

  3. Under Booking window, choose which of their booking windows to pull availability from, or choose Custom time to set your own.

  4. Pick a date, then select one or more times to offer.

  5. Click Next: Pick invitees and schedule if you picked one time, or Next: Share times if you picked several time slots.

  6. If you picked one time, confirm the meeting title, choose your recipients, and click Schedule meeting. If you picked several, confirm the subject and recipients, edit the message if you'd like, and click Send email, or switch to Copy details to copy and paste the email, rather than sending it directly from Jump.


That's all, if you selected a single time, the advisor and the client receive the calendar invite as normal, if you selected multiple times, the client can choose the time that works best for them, triggering the meeting to be scheduled automatically.


FAQ

Can a Lite seat user be a Scheduling Admin?

Yes. Lite seat users are given Team scheduling admin permissions by default when added to a team.

Can a Scheduling Admin edit an advisor’s existing Booking Windows?

Yes. Scheduling Admins have full create, edit, and delete access for all Booking Windows created by their current team members.

Do Scheduling Admins get notified when a client books a meeting through a Booking Window they created for an advisor?

Yes. Users who help manage another advisor’s booking windows can receive the relevant booking-window notifications (instead of everything only going to the advisor).

Can I send availability on behalf of an advisor?

Yes. Use Schedule a meeting from the New Meeting button or a contact's page, then select the advisor under Jump user. You'll see availability from any booking window you manage for them.
