How to control when the notetaker enters your meetings

What are notetaker timing settings?

Account owners in Jump can use notetaker timing settings to set when the Jump notetaker joins virtual meetings (e.g., Zoom, Microsoft Teams, Google Meet) and how long it waits before leaving a meeting when no one is present.

This feature gives organizations more control over the notetaker's presence in meetings. For instance, maybe you want to give yourself a buffer at the beginning of meetings for small talk with clients or colleagues, and don’t want the notetaker to be present during this time.

This setting is configured at the account level, meaning it applies to all users and virtual meetings on a firm’s account.


Where to find notetaker timing controls

Account owners can find the notetaker timing settings by going to Compliance > Notetaker settings.

Then scroll down to the Notetaker timing section.

Note: This setting may be locked by a firm’s parent account. If the lock icon is shown as closed, even Account owners will be unable to adjust this setting.


How to adjust when the notetaker joins a call

Choose whether you want the notetaker to Join before the meeting starts or Join after the meeting starts by selecting one of the two options.

In the text box below, select how many minutes before or after the meeting start time you want the Jump notetaker to join.

Note: You can set the notetaker to join up to 30 minutes before or 60 minutes after the scheduled meeting time.

Click the green Save button before exiting to apply these settings to all users on your account.


How to adjust when the notetaker leaves the waiting room

You can also configure how long you want the notetaker to stay in a meeting or waiting room when no one else has joined, before it will exit.

Use the Set wait time text box to adjust this setting. There is a minimum of a 1 minute wait, and a maximum of a 30 minute wait.

This means that if you set the wait time to be 10 minutes, and the virtual meeting starts 15 minutes late, the Jump notetaker would have already exited the waiting room and would not capture your meeting.

Depending on the specific meeting platform you use, there may be built-in limits that apply (e.g., 10 minute maximum for Google Meet and 30 minute maximum for Microsoft Teams).

If you’d like to default to each platform’s rules, you can toggle on the Use platform defaults setting, which will update the Set wait time text box accordingly.

Click the green Save button before exiting to apply any changes.

Can individual users customize Notetaker timing for their meetings?

No, Notetaker timing settings apply globally across the entire account and can only be configured by Account owners.

Will changing these settings affect meetings already in progress?

No, timing changes will only apply to meetings scheduled after the settings are updated.

What happens if I set the Notetaker to arrive after the meeting starts?

The Notetaker will join at the specified time after the meeting begins, but it will not capture any conversation that happened before it joined.
